# 1. First Log-in

Login to the Tenant or Subtenant using the invitation link sent upon profile creation. Depending on the admin’s settings, login may require either a password-only method or Two-Factor Authentication (2FA) via a third-party app. If **Optional 2FA** is enabled, users can choose whether to Login via only Pw. or with 2FA. Additionally, the admin can enforce security policies such as limiting password attempts, setting restrictions per user, or disabling accounts if necessary.

**Understand Super-Admin user privileges vs. regular user permission.**

## 2FA Login&#x20;

Admin might request user to enter via **2FA (Two Facthor Authorization)** login method.

2FA Requires users to verify their identity using a third-party authenticator app (**e.g., Google Authenticator or Microsoft Authenticator**), which generates a unique code for secure access.

# Assets Menu

At the top left, the Asset view provides quick access to the Home page, quick access to the dashboards, and an overview of All Groups and their associated devices.

Clicking on the search bar, the user can search for groups by name or by device serial number. The user can also create new groups directly from the search bar by clicking the "+".

Below the search bar, the user will find several options:

* Home: allows the user to access the tenant's Home.
* Dashboards: quick access to the dashboards.
* All Groups: displays the groups. Clicking on it will reveal a list of the group's name and its associated devices. The Unassigned devices group is a default group that gathers all devices that are not yet assigned to any of the tenant's groups.

# Cockpit Menu

The **Cockpit Menu** serves as the central hub for accessing all functional pages of the platform, including Devices, Groups, Alarms, Templates, Administration, and FOTA\* . This section is designed to support the organizational aspects of the platform, providing users with tools for device and group management, alarm configurations, and administrative actions. Unlike other sections, the Cockpit Menu emphasizes operational tasks, featuring elements such as Groups, the Home button, and Quick Access Dashboards, making it a streamlined and action-oriented interface for day-to-day operations.

# Device

The Device section provides centralized access to all devices within the platform, enabling users to monitor, configure, and manage individual or grouped devices in real time. It offers tools for viewing device status, battery levels, and data metrics, supporting efficient device administration. Users can also apply rules, assign devices to groups, and set configurations tailored to specific operational needs.


# Device Page Introduction

The **Device Dashboard** is your central hub for monitoring and managing an individual device. From here, you can view real-time data, add and customize widgets (such as location, temperature, or battery status), access the device’s rules, events, alarms, and configuration settings.

**How to access**

1. Navigate to the **Cockpit** menu.
2. Click on **Device**.
3. The page displays the complete list of devices associated with the tenant.

### **Filter**

The Filter function allows users to refine the device list using multiple criteria, providing full flexibility and visibility to create a customized device view. Once a filter is applied, the resulting list can also be exported using the **Export** function.

#### Filtering options

1. Click the **Filter** option located in the top-right corner of the page (funnel icon).
2. Select one or more filter criteria.
3. Click **Apply** to display the filtered device list.

#### **Available filter options**

* **Device type**
* **Device group**
* **Status**:
  * Active
  * Online
  * Offline
  * Configuration update pending
  * Last online
  * Exchanged (device has been successfully replaced by a new one; see the *Exchange* section of this guide)
* **Planned for exchange**
  * If the tenant has the required permission, users can enable *Show only devices planned for exchange*.
  * These devices are also visually identifiable by a red banner on their device card.
* **Firmware version**
* **Battery level** (selectable via slider)
* **Faulty battery** (checkbox to show devices with battery issues)
* **TX interval** (enter the desired interval value)

### **Export a file**

### Sorting

Users can sort the device list by clicking on the **up and down arrows** displayed next to each sortable column. This allows the list to be reordered in either ascending or descending order based on the selected field.

**Sortable fields include**

* Serial Number
* TX Interval
* Registration date
* Last uplink date

## Device Card

The Device Card offers a quick overview of each device’s key details, such as status, battery level, and recent data updates. It provides easy access to essential actions, allowing users to monitor, configure, and manage devices efficiently. Through the card’s menu, users can access advanced settings, rules, and configurations specific to each device.<br>

### Device '' Not Activated '' Activation and Migration Status

By default, the device list is filtered to hide **Not Activated** devices. To view them, open the **Filter panel** and remove the filter.

Devices migrated from **COT Cloud** may display different statuses:

* **COT-not-ready** → Device has not bootstrapped on COT. Activation via NFC is required. ( as shown in picture above )
* **COT-ready** → Device bootstrapped on COT, and configuration changes will be sent soon.
* **COT-updated** → The new configuration has been successfully updated on COT.
* **COT-migrated** → Configuration has been sent to the device, and on the next uplink, it will appear on the Gimasi Platform.

If there are any issues, contact your **Admin** to verify the correct on boarding of the device.

### Device Card blink Yellow.

The device card blinks **yellow** when it is actively **receiving data** in real-time. This indicates that the device is currently communicating with the platform and updating its status.

### Device Card - Planned for Exchange&#x20;

**Planned for Exchange** indicates that a device is in the process of being replaced with a newer or more multifunctional device. This functionality is part of the GIOT platform and is managed by the **Gimasi team** to support smooth hardware transitions without service disruption.

When a device is marked as *Planned for Exchange*, it means the replacement process has been initiated and the existing device is scheduled to be switched to a new target device.

From the device card, users can click on the **top red banner** to access exchange-related actions. If the tenant has been granted the required permissions, the user can:

* **Delete the device**, or
* **Merge it with the new target device**

#### **Important notes:**

When a device is **merged**, existing configurations such as **rules, group assignments, and other settings are preserved** and transferred to the new device.

This ensures continuity and minimizes reconfiguration effort during device replacement.

The Device Page provides an in-depth view of a selected device, displaying detailed metrics, configurations, and real-time status updates. Here, users can access specific settings, apply rules, view data history, and configure alerts tailored to the device. * **Reset the dashboard to the default layout:** Restore the dashboard to its original layout,deleting any customization to its layout.
* **Add widget:** The user can select widgets to be assigned to the devices in the group.
* **Copy layout:** to duplicate the dashboard to other devices by selecting the group o sub-group containing the target devices.

* **Dashboard:** View all widgets associated with the device, modify existing configurations, or add and set up new widgets.
* **Configuration:** display the most recent synced configuration, which initially matches the device's bootstrap settings. When widget settings are changed, a "configuration pending" status appears. The configuration updates will be applied when the device next connects to the GiOT backend.
* **Rules:** Access and add rule widgets, such as Battery Level Alarm, Geofence Alarm, and Alarm to Email Rule.
* **Alarms:** View all generated alarms, prioritized by importance.
* **Events:** Track all events triggered by the device.
* **Timeseries:** Select one or more measurements to display a related data graph; use the calendar icon to set the time interval.
* **Properties:** Edit and view device information, including name, serial number, timezone, container details, and a descriptive text about the device.

# Copy Device Dashboard

This function allows users to replicate a configured dashboard layout across multiple groups or devices. Users can select one or more groups, and within those groups, choose specific compatible devices to apply the setup. This ensures that only devices matching the dashboard's configuration are displayed for selection, streamlining the process and maintaining compatibility.

1. **Click on the Copy Dashboard Icon:** Locate and click the Copy Dashboard icon on the device dashboard page.
2. **Select Target:** In the pop-up window, choose the group, subgroup, or specific device(s) where you want to copy the dashboard layout.
3. **Confirm Copy:** Click Copy to replicate the dashboard layout to the selected targets.


# Device configuration

Configuration Widgets display the most recent synced configuration, which initially aligns with the device’s bootstrap settings.

The user can Activate the device configuration clicking on the toggle switch.

If any widget settings are modified, a "configuration pending" status will appear. To update the device configuration, the next time it connects to the GiOT backend, click **SAVE.**

## (LM) Level Meter Configuration

* **Transmission Interval:** Specifies how frequently level data is sent.
* **Level Detection:** Enables users to set threshold values for alarm triggers, such as transmission time interval, empty distance, warning distance, and critical distance.

## (LCT) Low Cost Tracker Configuration

* **Transmission Interval:** Determines the frequency of data transmission.
* **Temperature Monitoring:** Enables tracking of temperature readings.
* **Motion Detection:** Detects device movement.
* **Freefall:** Monitors occurrences of freefall, useful for orientation or impact sensitivity.
* **BLE Beacon:** Acts as a Bluetooth Low Energy beacon for proximity detection and location services.
* **Time-Driven Configuration:** Allows users to disable specific events for a defined period to conserve battery and avoid false alarms. Options include disabling freefall tracking, motion start/stop, tamper alerts, temperature threshold alerts (both high and low), and Bluetooth beacon signals.

These configurations help tailor the platform to specific operational requirements, enhancing monitoring and control capabilities for each device type.

# Copy Configuration

The Copy Configuration function allows users to replicate an existing device configuration and apply it to other devices of the same type. This feature streamlines configuration management and ensures consistency across devices.

## Steps to Use the Copy Configuration Function:

1. **Navigate to Device Configuration:**
   * From the Cockpit menu, go to the Devices section and select the desired device.
   * Open the device's configuration page.
2. **Access Copy Configuration:**
   * Click the Copy icon located on the right side of the configuration page.
3. **Select Target Devices:**
   * Choose the group or individual devices to which the configuration will be applied.
   * Only devices of the same type will be available for selection.
4. **Apply Configuration:**
   * Confirm the selection to replicate and apply the configuration to the selected devices.

The platform offers pre-defined IoT smart rules that can be applied according to each device's capabilities. These rules activate on specific device events and may generate alarms, which can all be accessed in the Alarms menu.

# Copy Rules to Group of Device

The **Copy Device Rules to Device Group** function allows users to efficiently apply existing device rules to multiple devices within a group. Instead of manually configuring rules for each individual device, this feature enables a streamlined process where selected rules from one device can be **copied and assigned** to an entire group, ensuring consistency and reducing configuration time.

With this tool, users can:

* Select a source device with predefined rules.
* Choose a target group where the rules will be applied.
* Ensure that only compatible devices within the group receive the copied rules.

This function is especially useful for managing large-scale deployments, ensuring uniform rule application, and reducing manual setup efforts.

3. **Ensure Rules Are Configured:** Verify that all necessary rules have been properly set up for the selected device.
4. **Initiate Rule Copy:** Click on the **Copy Rules** icon located at the **top-right corner** of the Rules page.
5. **Select Target Group:** Choose the **device group** where the rules should be copied.
6. **Confirm and Apply:** Click **Continue** to proceed, and the rules will be copied to **all compatible devices** within the selected group.


# Group

The Group section allows users to organize devices into groups and subgroups, enabling streamlined management, targeted configurations, and efficient data aggregation. It provides tools for assigning devices, managing rules, and visualizing alarms and events, all within a structured card and tree-based interface.&#x20;

Only **Super Admins** or users with specifically **granted permissions** can create new groups.\
Standard users **cannot create groups** independently. Instead, they are assigned to one or more existing groups when their **role is configured** by an Administrator or Super Admin in the **User Management section**.

### **Access the Groups Page**

1. **Open the Cockpit Menu**\
   From the left sidebar, click on the **Cockpit** menu to expand the available sections.
2. **Click on "Groups"**\
   Select **Groups** to open the dedicated page.
3. **View Group Structure**\
   Here, you can **visualize all existing groups** or **only the groups assigned** to your user role, depending on your access level.

### **Group Page Functions**

In the **top-right corner** of the **Groups page**, **Super Admins** or users with **granted permissions** will find all available group management functions:

#### **Filter by Group Type**

You can apply the following filters:

**Group Type:**

* **All Groups** – Displays every group and subgroup.
* **Top-Level Groups** – Shows only the main parent groups.
* **Subgroups Only** – Displays only the subgroups without parent groups.

**Group with Devices Filter:**

* **"Group with no devices" ON** – Only shows groups that currently have **zero devices** assigned.
* **"Group with no devices" OFF** – Shows **all groups**, regardless of whether devices are assigned or not.

### Group Card Options

Each group card includes a **⋮ (ellipsis)** menu offering several management actions. These are available **only** to **Super Admins** or users with granted permissions.

**Manage**

* **Assign or Remove Devices** – Add or remove devices from the group.
* **Move Devices Between Groups** – Transfer selected devices to another group.
* **Edit Group Name and Description** – Adjust key identifiers for organizational clarity.

**Edit**

* **Group Name** – Rename the group.
* **Group Description** – Add or update a description for context.
* **Group Icon and Color** – Select a visual identity for the group.
* **Upload Avatar** – Optionally upload a custom image or logo for the group card.

**Delete**

* **Permanently deletes the group**, including:
  * All of its **subgroups**
  * All **device assignments**

**Note:** This action is **irreversible** and must be used with caution.

# Group Page - Card and Tree View

When opening a specific group, the view is automatically set to **Tree View**, allowing for the management of device assignments within the group and the creation of subgroups.

The user can find all the generated groups in the Groups section.

**Card View:**\
Visible only on the **landing page** of the group dashboard, this view provides a larger and more detailed overview of all groups and subgroups. Each group or subgroup card displays key information, including:

* **Device Count:** The number of devices assigned to the group.
* **All Devices:** The total number of devices assigned to the group and its subgroups (if any).
* **Subgroups Count:** The total number of subgroups within the group.

**Tree View:**\
Automatically opens or can be selected when managing groups to streamline the organization and management of groups and their devices. This view provides a hierarchical structure for easier navigation and editing.

### Accessing the Group Dashboard

To access a group's dashboard:

1. Navigate to the **Assets View** from the sidebar.
2. Click on the **name of the group** you want to open.
3. The **Group Dashboard** will load.

* **Reset the dashboard layout** to default if needed.
* **Add or remove widgets** to customize how data is displayed. (discover the widgets here:&#x20;
* **Copy the dashboard** layout to other groups for consistency.

The **Group’s Dashboard** provides a consolidated view of all devices belonging to a specific group.\
It is composed of configurable widgets that allow users to quickly monitor status, analyze data, and detect anomalies across the group.

#### Table Data

The **Table** widget presents detailed device information in a structured tabular format, allowing users to easily compare parameters across all devices in the group.

**Configuration:**\
The widget can be configured by:

* Selecting the **device type**
* Selecting one or more **parameters** to be displayed as table columns
* Clicking multiple parameters to show them simultaneously in the same table

This widget is especially useful for operational analysis, troubleshooting, and bulk monitoring of device parameters.

#### Alarms

The **Alarms** widget provides a real-time overview of all alarms generated by devices within the group.

The widget displays alarms by severity:

* Critical
* Major
* Minor
* Warning

**Configuration:**\
No configuration is required.\
All alarms associated with the group are automatically displayed.

Users can click on any severity section to open a detailed view showing the alarms belonging to that specific severity level.

Alarm rules are defined elsewhere in the platform; this widget focuses on visualization and navigation at group level.

#### Graphs

The **Graphs** widget visualizes time-series data for one or more parameters across the group, enabling trend analysis and performance comparison.

**Configuration:**\
The widget requires:

* Selection of the **device type**
* Selection of one or more **parameters (metrics)**

Multiple parameters can be displayed within the same graph, or users can create multiple graphs to visualize metrics in the most effective configuration.

Graphs can be displayed using different chart types, such as line charts or bar charts, depending on the selected data.

#### Map

The **Map** widget displays the geographical location of all devices in the group, providing spatial awareness and location-based monitoring.

**Configuration:**\
No configuration is required.\
All geolocated devices within the group are automatically shown on the map.

Devices are represented using different colored pins to indicate their current state (for example, online, offline, or alarmed).

#### Level Meter Summary

The **Level Meter Summary** widget provides an aggregated view of level-based data (such as fill level, capacity, or percentage metrics) across the group.

The widget displays level ranges in predefined bands:

* 0–10%
* 10–20%
* 20–30%
* …
* 90–100% (completely full)

For each level range, the widget shows the number of devices belonging to that group.

**Configuration:**\
No configuration is required.

Users can click on a specific level range to explore which devices are currently in that state.\
It is also possible to export the list of devices for a selected level range in **CSV format**.

#### Level Meter Table

The **Level Meter Table** widget provides a detailed, configurable table view of level-related device data.

**Configuration:**\
Users can:

* Select which columns are most relevant for their use case
* Drag and reorder columns to define the preferred layout
* Display up to **11 columns**, including for example:
  * Level %
  * Serial number
  * Device name
  * Group
  * Level (mm)
  * Container ID
  * Battery level
  * Warning level
  * Critical level

Once configured, the layout can be saved to generate the table according to the selected configuration.


# Create Groups

Groups are a powerful way to organize and manage devices efficiently within the platform. By categorizing devices into groups, you can streamline configurations, apply rules, and analyze data specific to subsets of your devices. Groups help maintain clarity and efficiency, especially when managing large numbers of devices.

### Create a Group

Creating a new group on the GIOT platform helps you organize and manage devices effectively. The ability to create groups is now available again from the **Assets View**, but with access limitations depending on user roles.

#### Add Devices via CSV Upload

During group creation, it is also possible to add devices in bulk by uploading a **CSV file** containing the list of device serial numbers. This feature simplifies and speeds up group setup when working with a large number of devices, eliminating the need to manually add each device individually. Once the file is uploaded, all valid devices are automatically associated with the newly created group.

### Group Creation for Restricted Users

Restricted users **cannot use the main “Create Group” buttons**, but they **can create subgroups** using:

* **Group Index – Tree View**
* Click **⋮ on a group** they are assigned to
* Select **“Create Subgroup”**

This ensures that restricted users stay within their allowed structure and cannot create groups outside their permission scope.

# Create SubGroups

## **Introduction to Subgroups**

Subgroups allow for further organization within a primary group, enabling more granular control of devices, configurations, and management. This hierarchy is particularly useful for segmenting devices by location, functionality, or any specific categorization needed for streamlined operations.

Creating a subgroup is practically identical to creating a main group, ensuring a seamless and intuitive process. Once a subgroup is created, it inherits the primary group's settings but can also be customized to meet unique requirements. Subgroups provide flexibility in managing devices while maintaining a clear organizational structure.

## When a Group Contains SubGroups? How to recognize it ?

* **With Subgroups**: When a group contains subgroups, the folder icon is color-filled, indicating that additional levels of hierarchy exist within the group.

### Steps to Create Subgroups:

1. **Locate the Parent Group**:\
   Navigate to the Assets view or Groups section and find the group you want to add a subgroup to.

3. **Select Create Subgroup**:\
   From the drop down menu, click on **Create Subgroup**.
4. **Enter Subgroup Details**:\
   In the popup window, fill in the following:
   * **Name**: Provide a name for the subgroup.
   * **Description**: Add an optional description to identify the subgroup.
5. **Save the Subgroup**:\
   Click **Create** to finalize and create the subgroup.

> **Note**: The process mirrors that of creating a group, with the only difference being that the subgroup is nested under a parent group. After creation, subgroup management (e.g., assigning devices) can be performed in the same way as for groups.


# Assign devices to a group

### Assign or Move Devices to a Group

Whether you're organizing newly onboarded devices or reorganizing your infrastructure, you can **assign** or **move** devices to a specific group directly from the **Assets View**.

### Steps to Assign or Move Devices to a Group

1. **Go to Assets View**\
   From the sidebar, click on **Assets View**.
2. **Open Groups Page**\
   Click on **Groups**, then&#x20;
3. **Select the group you** wish to add devices to.
4. **Open Group Management Menu**\
   On the group's card, click the **ellipsis (⋯) icon** in the top-right corner.
5. **Click Manage**\
   From the dropdown, choose **Manage**.
6. **Open Device Assignment**\
   Inside the Manage menu, select **Device Assignment**.
7. **Browse or Search Devices**
   * A list of all available devices will appear.
   * Devices already assigned to this group will be **highlighted in green**.
   * Use the **scroll** function or **search bar** to find a specific device by ID or name.
8. **Select Devices**
   * Click the checkbox next to one or more devices to select them.
9. **Choose Action: Assign or Move**

   * **Assign**: Adds the selected device(s) to this group **without removing them** from any other group they are already part of.

   * **Move**: Transfers the device(s) to this group **and removes them** from any previously assigned group(s).

   > **Note:** If the device is **newly added** and has **not yet been assigned** to any group, both **Assign** and **Move** will result in the **same outcome** — assigning the device to this group.
10. **Confirm the Action**
    * Complete the process and the device(s) will now appear in the selected group.

The **Assign/Move function** allows Super Admins or users with the right permissions to efficiently organize devices across groups.

You can either:

* **Assign**: Add devices to another group **without removing them** from their original group.
* **Move**: Transfer devices **from one group to another**, **removing them** from the original group.

1. **Access the Assets View**\
   From the sidebar, go to **Assets View**.

4. **Select Source Group**\
   In the pop-up window:
   * Use the **left column** to browse or search for the group from which you want to transfer devices.
   * Select the desired **Source Group**.
5. **Select Target Group**
   * Use the **right column** to browse or search for the group you want to assign or move the devices to.
   * Select the desired **Target Group**.
6. **Choose Action: Assign or Move**
   * Click **Assign** to **copy** the devices into the target group (they’ll remain in the original group too).
   * Click **Move** to **transfer** the devices and remove them from the original group.
7. **Confirm Action**
   * A summary window will appear.
   * Confirm the operation. If **moving**, you’ll also be given the option to **delete the source group** if it becomes empty.

# Import device list to a group

Import device list to **Add/Move/Remove Devices** to streamlines the process of managing devices within a group, allowing users to efficiently update device assignments. This feature provides three options:

* **Add to Group**: Assigns the device to the target group while keeping it in any existing groups.
* **Move to Group**: Transfers the device to the target group and removes it from its current group.
* **Remove from group**

# Events

The Events Page provides a centralized view of all events generated by both Low-Cost Trackers (LCT) and Level Meters (LM) devices. It allows users to monitor device activity in real-time, analyze event details, and filter results based on device type, event category, or time period. This comprehensive interface ensures users can efficiently track and respond to device-generated or backend-processed events, enhancing operational oversight across all connected devices.

The Alarms Summary page provides a summary of alarms for either a selected device or a group of devices. It allows users to view the number of active alarms per severity level and provides key information such as the alarm type and trigger time.

## Manage Alarm Status

The **Alarm Status Management** page enables users to monitor and manage alarms generated by device configurations. It provides a comprehensive list of alarms, displaying their **status** (completed or ongoing) and allowing updates as necessary.<br>

1. **From the Alarms Summary Page**:

* To view all alarms reported by a device, click the **“Show Alarms”** icon located in the top-right corner of each Alarm Level card.

1. **Alarm Status**:
   * **ON**: Indicates the alarm has been triggered and is actively monitoring a condition (e.g., temperature exceeded, motion detected, geofence entered).
   * **OFF**: Indicates the alarm condition has been resolved, cleared, or acknowledged. The event has either stopped, been corrected, or manually turned off.
2. **Alarm Level**:
   * **Critical**
   * **Major**
   * **Warning**
   * **All**: View all alarms regardless of severity level.
3. **Timeframe**:

   * Select a specific period for alarm data, then click **Apply** to save and filter the results.

### Geofence can be applied at different levels.

* ***Geo-fence Alarm Rule*****:** Trigger alarms when devices enter or exit a predefined area.
* ***Adaptive Configuration Rule*****:** Apply specific configuration changes to devices based on their location relative to a geo-fence.
* **Configurations:** Used in Time-Driven Configurations to activate or deactivate settings based on geo-fence areas.
* **Device Grouping:** Automatically include devices in groups based on their location within a geo-fence.
* **Dashboards:** Visualize device locations and movement within geo-fenced areas using map widgets.

Geofences are intuitive to create and manage, ensuring seamless integration with the platform's rules, configurations, and monitoring tools.

The Dashboard is a central feature of the platform, designed to provide users with a customizable and organized view of their device data and metrics. Dashboards support the visualization of real-time and historical data through various widgets, including charts, tables, and maps. They can be configured to display data for individual devices, groups of devices, or tenant-wide metrics, making them a powerful tool for monitoring, analysis, and decision-making.

Dashboards offer flexibility in usage, allowing them to be:

* Set as Home Dashboard: Displayed as the main dashboard for all users in the tenant.
* Shared Publicly: Made accessible via a public URL for external viewing.
* Quick Access Dashboards: Added to the side menu for streamlined navigation to frequently used dashboards.

This adaptability ensures critical information is always available in the most convenient and effective format.

# Create new Dashboard

Users can create a dashboard template for the tenant, making it accessible to all users within the tenant. This ensures a unified view and standardization across the platform for team collaboration and data monitoring.

* **Graph:** Configure for a single device or a group of devices, select the parameters to display, and define the time frame.
* **Map:** Select a group of devices to show on the map from the list of existing groups within the tenant.
* **Table:** Configure for a single device or a group of devices, and select the parameters to display in the table.
* **General Statistics:** Provides a clear global overview of all devices in the tenant, including the total number of devices and their status (online, offline, or inactive).
* **Alarms Summary:** Configure for a group of devices to display a summary of all alarms generated by those devices.
* **LM Level Meters Summary:** Define the group for which a table will show an overview of all Level Meters within the group.

## Set Up Home Dashboard

1. Ensure to be with-in the Cockpit menu and click on Dashboard.
2. Select an existing dashboard by its name or description.

1. **Navigate to the Dashboard Section:**\
   From the Cockpit menu, go to **Template > Dashboard**.
2. **Locate the Dashboard Card:**\
   Use the name or description to find the desired dashboard card.
3. **Edit the Dashboard:**\
   Click the ⋮ (ellipse) menu on the selected dashboard card and choose **Edit**.
4. **Enable Public Access:**\
   In the Edit Dashboard view, check the box labeled **Public**.
5. **Save Changes:**\
   Click **Save** to confirm the changes.
6. **Copy the URL:**\
   Once saved, the **Public URL** will appear below the checkbox. Copy the URL to share the dashboard with external users.

# Administration

# User

To begin creating a new user, ensure you're navigating from the **Cockpit Menu**.\
Click on **Administration**, then select **Users** from the sidebar.

This will open the **User Management** page, where you'll see a list of all users currently registered within the tenant or subtenant. From here, you can manage existing users or proceed to create a new one by following the guided steps.

## To Access the User Dashboards:

1. Navigate to the Administration Section:
   * Ensure you are in the Cockpit menu and click on Administration.
2. Locate the User List:
   * The page will open with all the users already logged in.

**In the User Dashboard, Admin can:**

* Search for a Specific User:
  * Any specific user can be found by typing their name or email address in the search bar.
* Filter by User Name:
  * To filter the list by the user's name, click the filter button.
* Create a New User:
  * To create a new user, click the "+" icon.
* Export the User List:
  * To export the user list, click the export icon.
* Sort the List:
  * To toggle the sorting order, click the last icon on the right.

# Create New User

The **Create New User** page allows Super Admins or permitted roles to onboard new users into the platform.\
During the creation process, it's essential to define the user's role and group access — both are mandatory for restricted users. Only one role can be assigned per user. You can either assign a specific group or give access to **All Groups**, which overrides any individual group selection.

Before assigning a **custom role**, ensure it has been previously created (see: *Create New Role*). Once all required fields are filled and settings confirmed, the user will receive an activation email to complete their registration.

### Steps to Create a New User

**1. Initiate User Creation**\
From the **User Management** page, click on **Create User**.

**2. Fill in User Details**\
Enter all required information, including the user’s **email address**, **first and last name**, and any optional details.

**3. Assign Groups or All Groups**\
You must now assign the user to either:

* **Specific Groups** (one or more), or
* **All Groups** (exclusive — no other group can be assigned if this is selected).

Assigning a user to "All Groups" will automatically remove any previously selected individual groups.

**4. Assign Initial Role and Group Access**\
Select a predefined or custom role for the user.\
If you're assigning a **custom role**, ensure it’s been created beforehand (see: *How to Create Roles*).

Next, assign the group or groups the user will have access to.\
For each assigned group, you must also specify the **access level**:

* **Read**: The user can view data and dashboards but cannot modify device settings or platform configurations.
* **Write**: The user has full permission to modify devices, rules, dashboards, and other elements within the assigned group(s).

**5. Select Language Preference**\
Choose the user’s preferred language from the dropdown list.

**6. Automatic Tenant Assignment**\
The platform will automatically assign the **current tenant** to the user.

**7. Confirm Creation**\
Click **Create** to finalize the process. The user will receive an **activation email** to set up their password and log in.

### **Role & Group Assignment Rules:**

* **Only one role** can be assigned per user.
* For **restricted users** (non–Super Admins), assigning them to **at least one group** is **mandatory**.
* If the user is assigned the "**All Groups**" option:
  * All other group assignments will be **automatically removed**.
  * The user will gain access to all current and future groups within the Tenant.
* These rules ensure clarity in user access, improving organizational structure and minimizing risk.

# User Detail Page

By clicking on a tenant's user card, Admin can open the single User Administration Page, accessing managing function such:

1. **Roles:** This section allows you to assign a new role to the user, replacing the previously assigned one.\
   *Note: Each user can only be assigned **one role** at a time.*

2. **Groups:** You can review and manage the user’s assigned groups by adjusting their access level—either **Read or Write—for each group**. Additionally, you can **remove group access** entirely or assign the user to one or more new groups as needed.

3. **Logs:** Admin can monitor all the logs and actions the User as accessed to, within the Tenant&#x20;

4. **Modify User information**: Name, Surname, Language and Location.
5. **User access Security:** Here Admin have the ability to select the user Log-in methods.

# User Security Log-in

From the user page, the Admin can define multiple access restrictions to enhance security.

* **Lock Account:** When this checkbox is marked, the user cannot access the account. The admin can unlock the account at any time.
* **Force Change Password:** When cliked, **t**he user will receive a new link via email, prompting them to create a new password to access the Tenant. This is useful when the user has forgotten their password or when the Admin prefers to request a specific user to create a new login password.
* **Login Type:** The Admin can modify the login type by requesting the user to use:

1. &#x20;**Normal:**&#x41;ccess the Tenant using a password.
2. **2FA (Two-Factor Authentication),** Access is allowed only through a third-party app that generates a code.
3. **2FA OPTIONAL,** The user can choose to use either 2FA or a password.

* **IP address:** The Admin can define specific IP addresses that are allowed to connect to the Tenant, excluding all others.

# Assign Group to User

When opening the User Profile, the user, SuperAdmin or a User with the appropriate role permissions, can assign groups to another user, limiting its access to only the devices assigned group(s).

### **Steps to Assign a Group to an User**

1. **Open User Profile:**\
   Navigate to the user's profile by selecting their card.
2. **Access Group Management:**\
   Click on the **Groups** tab in the user profile.
3. **Initiate Group Assignment:**\
   Click the **Assign Group** icon and choose **Assign Group**.
4. **Select Target Group:**\
   Select the desired group from the dropdown menu.
5. **Confirm Assignment:**\
   Click **Assign** to complete the group allocation.


# Switch Role to a User

Only one role can be assigned per user.  SuperAdmins or Users with the appropriate permissions can switch a user’s role by revoking the previous one and assigning a new role. Each role defines the specific actions a user is authorized to perform within the platform.<br>

3. **Add New Roles:**\
   Click on the **add icon** for new roles.
4. **Select Roles:**\
   Choose the roles from the dropdown menu.
5. **Confirm Role Assignment:**\
   Click **Assign** to save the changes.


# Role

The gIoT Platform offers predefined roles to the users, to simplify their management. Only users with the appropriate permission can create new roles or modify existing ones.

Role It’s a set of permissions from different categories that defines what actions a user is allowed to perform within the platform.&#x20;

The amount of the permissions in the role and the number of users assigned to that role are visible under the role name. Let’s see all the available roles:

* SuperAdmin: it has the highest permission, it’s allowed to access and modify every user’s information as well as request password update;
* Normal Access: it’s allowed to access to most of the functions and user’s information;
* Read only: it has access to all the functions but it’s unable to modify or export data;
* Custom Role: SuperAdmin or granted roles can easily create new roles;
* No create/No delete: it can’t either create, delete or modify roles.


# Create New Role

To create a new role, it's important to ensure you are in the Cockpit menu and then click on Administration. Then Click on Roles.

The page will open on all the roles already created.\ <br>

   Click on **Create Role** in the top-left corner of the page.
2. **Enter Role Name:**\
   Provide a name for the new role in the designated field.
3. **Edit Role Permissions:**\
   Click on the **⋮ (ellipse)** icon of the created role and select **Edit**.
4. **Assign Permissions:**\
   Mark the checkboxes to assign specific permissions to the role.
5. **Save the Configuration:**\
   Click **Save** to finalize the role creation and permissions.

# Tenant

   Users have access to a **clear and friendly user interface** that provides an overall view of all assets within the tenant. The overview includes key aggregated statistics such as:

   * Total users
   * Total devices
   * Total groups
   * Total geofences

   Additionally, the statistics are **clearly divided by device type**, allowing quick insight into the asset distribution.

1. **Settings:**\
   Users can modify essential tenant details, including:
   * Tenant Name
   * URL and API URL
   * Time Zone
   * Language Preferences
2. **UI Customization:**\
   Customize the platform's appearance by:
   * Uploading a logo
   * Editing the top bar with custom text, font size, and text color
   * Selecting a background color
3. **API Management:**
   * Create new API tokens
   * Test API functions for seamless integration
4. **Subtenants Management:**
   * View all subtenants under the tenant
   * Edit or delete subtenants as needed
5. **Authorization:**
   * Max Login Attempts: Define the maximum number of failed login attempts before the account is temporarily locked for security.
   * IP Whitelisting: Restrict login access to specific IP addresses, ensuring only authorized networks can access the platform.
   * Two-Factor Authentication (2FA): Enforce an additional layer of security for all tenant users, requiring a second verification step during login.
6. **BSSID**\
   \
   The **BSSID Management** page allows users to manage the list of Wi-Fi access points (BSSIDs) associated with the tenant. Each BSSID represents a trusted reference point used for location accuracy and device positioning.

From this page, users can:

* View all configured BSSIDs in a structured table
* Search BSSIDs by name or identifier
* See the associated **latitude and longitude** for each BSSID

The table provides a **read-only overview** of the configured data, ensuring clarity and consistency across the tenant. Pagination controls allow easy navigation when managing larger BSSID lists.


# Tenant API

## API <a href="#tenant-api" id="tenant-api"></a>

The "Tenant API" refers to an API (Application Programming Interface) designed to manage and interact with the resources of a single Tenant.

## Steps to Create API-Tokens

1. **Access Administration:**
   * Navigate to the cockpit menu, go to "Administration," and select "Tenant."

   * Click on "API" to open the menu, then click the "Create" icon on the right side of the screen.
3. **Fill in Required Information:**
   * **Name:** Enter a required name for the API token.
   * **Description:** Add a description to facilitate the organization of the Tenant.
   * **Expiration Date (optional):** Set an expiration date if needed.
   * **Tenant:** Select the specific Tenant to receive the API call, or choose "All Tenants."
   * **Permissions:** Select or deselect permissions such as Read, Write, Create, Delete.
4. **Generate and Save API Token:**
   * Click "Next" to generate the API token. The token will be displayed and can be copied.
5. **Click "Save" to complete the process.**


# Create SubTenants

   Click **Create** to complete the process and add the SubTenant.


# Add User to Sub-Tenant

Once a Sub-Tenant has been created or identified for user assignment, navigate to the User page. Use the filter option to select the desired Sub-Tenant. From there, follow the steps to create a new user, ensuring they are correctly associated with the chosen SubTenant.

Existing users cannot be added to a Sub-Tenant. Admins must create a new user within the Sub-Tenant, even using the same email address as in the main Tenant. For security, it is recommended to set a unique password for the new user.

The **Device in Sub-Tenant** section allows administrators to allocate devices to specific sub-tenants within the platform. This ensures a streamlined organization of resources, enabling precise management of devices across different sub-tenants. Devices assigned to a sub-tenant are exclusively visible and manageable within that sub-tenant's scope, supporting efficient operational control and enhanced data segmentation.

## Steps to Assign Devices to a Sub-Tenant:

1. **Navigate to SubTenant Devices**
   * Open the **Administration** menu and go to **SubTenants Devices**.
2. **Select Target SubTenant:**
   * From the list on the right-hand side, choose the SubTenant to which devices will be assigned.
3. **Initiate Device Assignment:**
   * Click the **+ Assign Device to SubTenant** button.
4. **Select Devices:**
   * From the device list, use the check boxes to select the devices you wish to assign.
5. **Device are added:**
   * once the check box is clicked the device is automatically added to the subgroup

# Authorization

1. **Enable  max attempts:** The Super Admin can set a maximum number of login attempts for all users. If a user exceeds this limit by entering an incorrect password multiple times, their account will be temporarily locked. To regain access, the user must contact an administrator to request a password reset via an email link.
2. **Enable IP address:** The Admin can restrict access to the Tenant by allowing only specific IP addresses. This ensures that only approved environments, such as company devices or users connected through a designated internal VPN, can access the platform, enhancing security and control.
3. **Login Type:** The Admin can choose between different authentication methods for user access:

   * **Normal Login:** Standard password-based authentication.
   * **Two-Factor Authentication (2FA):** Requires users to verify their identity using a third-party authenticator app (e.g., Google Authenticator or Microsoft Authenticator), which generates a unique code for secure access.
   * **Optional 2FA:** Users can decide whether to enable Two-Factor Authentication for added security.

# Subtenant Device

The **Subtenant Device** section provides Super Admins and permitted roles with an overview and full control of device distribution across Subtenants. This feature allows centralized monitoring and management of which devices are assigned to each Subtenant, and ensures transparent tracking of asset ownership and group allocations within each tenant structure.

From this section, users can:

* Select a Subtenant and view the devices currently assigned to it.
* Manage individual device assignment to and from Subtenants.
* Assign entire groups — and their associated devices — to a selected Subtenant.

#### Steps to Access the Logs Page

1. **Go to Cockpit Menu**\
   Navigate to the sidebar and click on the **Cockpit** menu.

3. **Select Logs**\
   Click on **Logs** to open the page.

Once opened, the page displays a chronological list of all tenant-related activities. Selecting a log entry opens the detailed log view with additional metadata and contextual information.

#### **Page Overview and Specific Functions**

**1. Subtenant Selection Panel (Left Column)**

* Lists all existing Subtenants.
* Click on a Subtenant to display its associated device data.

**2. Device Assignment Section**

* Shows the complete list of devices currently assigned to the selected Subtenant.
* Allows manual assignment or unassigned of individual devices.

**3. Group Assignment Panel**

* Enables the assignment of entire **Groups** to the Subtenant.
* All devices within the selected groups
* &#x20;will be assigned automatically to the Subtenant.
* Useful for organizing large sets of devices under structured Subtenant ownership.

#### Only **Super Admins** can modify device or group assignments across Subtenants. All changes apply instantly and reflect across the platform.

#### **Attention**

When assigning a **Group** to a Subtenant, the action will only succeed if **all devices** within that group are **exclusively** assigned to that group.

If **any device** in the selected group is also assigned to **another group**, the platform **will block** the assignment to avoid conflicts in device ownership across Subtenants.

**Tip:** Before assigning, verify that all devices in the group belong **only** to that group or consider cleaning up group overlaps.

# API ( Swagger )

API settings can limit what actions (Create, Read, Delete…) can be performed based on the API key. Each key has specific permission, allowing or restricting data, while preventing updates or deletions. This is important for machine-to-machine communication, ensuring that each key can only access the designated operations. Additionally, API keys can be set up to control access to specific groups or devices, ensuring that only authorized machines can interact with those devices. ## Steps to Swagger API&#x20;

   * Ensure you are in the Cockpit menu, then click on Administration.

# Logs

The **Logs** page displays a complete list of actions performed by tenant users.\
Each entry shows **who performed the action**, **on which entity**, **what operation was executed**, and **the result of the operation**.\
By clicking on a log row, Superadmin users can open the detailed view to access additional information related to the selected action.

#### Steps to Access the Logs Page

1. **Go to Cockpit Menu**\
   Navigate to the sidebar and click on the **Cockpit** menu.
2. **Click on Administration**\
   Within the Cockpit menu, select the **Administration** section.
3. **Select Logs**\
   Click on **Logs** to open the page.

Once opened, the Logs page displays a chronological list of all recorded tenant activities. Clicking on a single log row opens the detailed log view, where additional metadata and operation-specific data are available.

#### Logs Table Configuration

From the Logs page, users can configure the table to control which data is displayed.

**Column Selection**

By clicking on the **Columns** button in the top-right corner of the page, users can show or hide table columns.\
The available columns are:

* **User**
* **Entity**
* **Entity Name / Serial**
* **Operation**
* **Status**

Changes are applied immediately to the table view.

#### Filtering Logs

Users can refine the displayed data by clicking on the **Filter** icon.\
Filters can be applied using the following criteria:

* **User** (by username or email)
* **Entity type** (e.g. device, tenant, group, device widget, and others)
* **Device serial number**
* **Group name**

Multiple filters can be combined to narrow down the results.

#### Export Logs

The currently displayed table can be exported by the user.\
Only the filtered and visible data is included in the export, which is generated as a **CSV file**.

# Exchanges

The **Exchange** section provides an overview of all devices that are currently in progress to be exchanged with a new device.

The Exchange section is designed to manage device replacement processes, ensuring continuity of configuration and controlled device lifecycle management.

Within the Exchange section, users with the required access rights can:

* View all devices that are planned or currently in progress for exchange.
* Customize which columns are visible in the table.
* Filter, export, merge, or delete devices depending on granted permissions.

### Actions – Merge or Delete Device

This section describes the actions available for devices that are in progress of being exchanged.\
The available actions depend on the user’s role and granted permissions.

**Delete Device**

* Completely removes the old device from the tenant.
* The device and all related data are permanently deleted.

**Merge Device**

* Merges the old device into a selected new device.
* **All configurations** (rules, groups, settings, and assignments) from the original device are retained.
* The device name is updated **only if the serial number in the name is complete**:
  * If the full serial number is present, the name will be updated with the new serial number.
  * If the serial number is incomplete, the device name will **not** be changed.

When clicking **Merge**, a popup dialog is displayed showing a list of available new device serial numbers that can be selected for merging.

# FOTA

The **FOTA** page within the GIoT platform allows you to remotely manage firmware updates for supported devices.\
From here, you can create **update campaigns**, track their progress, and ensure that all devices run the latest firmware version.\
This process eliminates the need for manual updates, saving time and ensuring consistency across your device fleet.

### **Steps to Access the FOTA Page**

1. **Open the Cockpit Menu**\
   From the main sidebar, navigate to the **Cockpit Menu**.
2. **Select FOTA**\
   Click on **FOTA** to access the firmware management section.
3. **Go to Campaigns**\
   Inside the FOTA section, click on **Campaigns** to view all existing campaigns and their current statuses.


# Create FOTA campaign

### Steps to Create a FOTA Campaign

#### 1. **Access the FOTA Campaign Section**

* From the **Cockpit Menu**, click on **FOTA**.
* Select the **Campaign** tab to view existing campaigns.
* In the top-right corner, click the **ellipsis icon (⋮)** and choose **Create Campaign**.

#### 2. **Fill in Campaign Details**

**General Information:**

* **Campaign Name**:\
  Use a clear and descriptive name (e.g., “LM Update – EU – Q3/2025”).
* **Device Type**:\
  Choose between:
  * **Level Meter (LM)**
  * **Low-Cost Tracker (LCT)**

### 3. For Level Meter (LM) Devices

When creating a campaign for **LM devices**, the following fields are required:

* **Campaign Name**
* **Group** (optional but recommended)
* **Device Type**: Must be set to *Level Meter (LM)*
* **Expected Firmware Version for A-series devices**
* **Expected Firmware Version for B-series devices**

**Important Notes**:

* Devices with serial numbers starting with:
  * **A...** or **B...** → ✅ Eligible for FOTA updates
  * **86...** → ❌ Not FOTA-compatible — they will be excluded automatically
* **Target Group (Optional but Recommended)**\
  Restrict the campaign to a **specific group**. Only devices within this group matching the selected **device type** and firmware rules will be included in the update.

### 4. For Low-Cost Tracker (LCT) Devices

When creating a campaign for **LCT devices**, the required fields are:

* **Campaign Name**
* **Group** (optional but recommended)
* **Device Type**: Must be set to *Low-Cost Tracker (LCT)*
* **Firmware Filename**: Must be a **numeric-only** value (letters are not allowed)
* **Expected Firmware Version**: Devices with the same or higher versions will be excluded
* **FTP Server IP**: Pre-filled as `172.25.102.151`, but can be changed
* **FTP Server Port**: Default is `21`, but can also be changed if needed

The new campaigns that contains devices already running the **expected firmware version** or a **higher version** will also be excluded.\
*Example: If you enter `2.1.1.1`, any device on `2.1.1.2` will not be updated.*

### 5. **Create the Campaign**

Once all necessary fields are completed:

* Click **Complete**.
* **Campaign card** will be created showing:
  * Total number of targeted devices
  * Campaign status
  * Assigned group name

LCT Campaign cards and **do not include** `Update 1` and `Update 2` statuses. The update will jump directly to `Running`.

### Understanding Campaign Status (LM Devices)

| Status        | Description                                                         |
| ------------- | ------------------------------------------------------------------- |
| **Update 1**  | The FTP Server IP is sent to the device.                            |
| **Update 2**  | The update command is been sent to the device                       |
| **Running**   | The actual firmware update process is underway.                     |
| **Completed** | The firmware update has finished successfully.                      |
| **Error**     | Something went wrong during the process (e.g., device unreachable). |

> **LCT campaigns skip Update 1 & 2** and proceed directly to **Running** once initiated.

Campaign Overlap Restrictions

* You **cannot launch two FOTA campaigns** simultaneously if they share **any device**.
* If a second campaign includes a device already targeted in another running campaign, it will **fail to start** and show an error.
* In this case, you must manually start the second campaign **after the first has finished**.

* Confirm firmware versions before launching campaigns.
* Always verify device serial numbers and expected versions.
* Start campaigns during low-traffic hours to minimize disruption.
* Avoid overlap by clearly grouping devices for unique campaigns.
